Run through this checklist first. It’s the fast version of everything below: what “automated ISF” actually looks like line by line.
ISF filing is the highest-volume, highest-penalty compliance task in US ocean freight, and it’s also one of the easiest to automate badly: re-keying the same shipper, consignee, and HTS data a second time into a separate portal, under a deadline that’s stricter than people expect.
Why ISF filing is worth automating specifically
Two things make ISF different from most freight paperwork. First, the data isn’t new, it’s a subset of information already captured at booking: shipper, consignee, manufacturer, HTS codes, container stuffing location. Manual ISF filing means someone re-types data that already exists somewhere else in the file. Second, the penalty for getting it wrong is real money, not just a delay: CBP can assess liquidated damages per violation for a late, missing, or inaccurate filing, commonly cited around $5,000 per violation.
Automating ISF means the shipment record that already holds the booking and commercial invoice also generates the ISF filing, instead of a second, disconnected data-entry pass.
The deadline that catches people out
ISF has to be filed at least 24 hours before the shipment loads onto the vessel at the foreign port of export, not 24 hours before it reaches the US. That window can be weeks before the ship physically arrives, and if a supplier books a vessel on short notice, the ISF deadline can be tighter than it looks on a shipping calendar. Automated filing tracks the deadline against the actual load date pulled from the booking, not a guessed arrival date.
What gets automated vs what still needs a human
Automation doesn’t remove the need for a person to approve the filing, it removes the re-typing. The 10 importer-side elements (seller, buyer, importer of record number, consignee, manufacturer, ship-to party, country of origin, HTS codes, container stuffing location, consolidator) pull from the existing shipment record; a person still reviews and approves before it’s transmitted, usually through an approval chain rather than a single unchecked submit button.
CargoEZ files ISF straight from the shipment record through an approval chain, so the 24-hour deadline is tracked against your actual vessel load date, not a guess.
