A booking confirmation isn’t the same as a shipment that’s actually going to move on schedule. Confirm these details before you treat a booking as locked.
Cutoff dates aren’t all the same date
Ocean bookings usually have at least two separate cutoffs: when cargo physically needs to be at the terminal, and when final shipping documents (SI, VGM) are due. Missing the documentation cutoff can bump a shipment to the next sailing even if the cargo itself arrived on time. Track both dates, not just one.
Confirm the rate before it becomes the rate you’re billed
Spot rates in freight move fast, and a quote given a week before booking isn’t always honored exactly at booking time. Get the final rate confirmed in the actual booking confirmation, not just the original quote email, so you have something to point to if the invoice comes in different.
Build your quote on the freight quote template and log the booking in the shipment tracking spreadsheet the moment it’s confirmed.
